Stop Repeating Yourself: Make a Helpful Small-Business FAQ With ChatGPT

Free small-business AI lesson

Answer common customer questions clearly, without writing the same explanation again and again. No coding or paid tools required.

“How much does it cost?” “How do I book?” “How long will it take?” If you run a small business, you probably hear some questions repeatedly. A short frequently asked questions (FAQ) section can help people find answers before they contact you.

ChatGPT can help organise those answers into friendly, readable wording. You provide the real business facts. AI helps with the writing, not with deciding your prices, policies or promises.

What you’ll make

A simple set of five or six customer questions and answers that you can use on your website, in a handout or when replying to enquiries. You can start with a notebook and a free ChatGPT account.

Five easy steps

1. Write down the questions you actually get

Think about recent enquiries. Do customers ask about booking, prices, locations, accessibility, what to bring or how long a service takes? Pick five common questions. You don’t need to paste anyone’s actual message.

2. Gather the facts you know are correct

Write down your confirmed opening hours, booking method, service area, price information and any policies you want to explain. If you haven’t decided something, write not confirmed rather than guessing.

3. Copy this prompt into ChatGPT

Replace the words in square brackets. Leave anything you don’t know as “not confirmed”.

Act as a clear-writing helper for my Australian small business.
Business type: [TYPE OF BUSINESS]
Customers: [WHO WE HELP]
Real questions customers ask:
[LIST 5–6 QUESTIONS]
Confirmed business facts:
[HOURS, BOOKING METHOD, LOCATION OR SERVICE AREA, PRICES OR QUOTE PROCESS, POLICIES]
Facts not yet confirmed:
[LIST OR WRITE “NONE”]

First, ask me up to three questions if important facts are missing.
Then write a friendly FAQ with:
– one short answer for each real customer question
– plain Australian English, no jargon
– answers of no more than 45 words each
– a helpful next step where appropriate

Use ONLY the confirmed facts I provide. Never invent prices, availability, turnaround times, guarantees, refunds or policies. Mark missing information as [CHECK BEFORE PUBLISHING].
Finish with a checklist of facts I must verify.

4. Check the answers before anyone sees them

Read every line as if you were a customer. Are the prices, times and booking instructions accurate? Does anything sound like a guarantee you can’t make? Fix those details yourself. AI-generated wording can sound convincing even when it is wrong.

5. Put the useful answers where people can find them

Add the FAQ to your website, a booking page, a printed flyer or a customer information sheet. Keep it updated whenever your hours, services or policies change.

A practical example: a fictional alterations business

Imagine a small sewing alterations service. These are sample answers only, not details of a real business:

  • Q: Can I get an exact price before you see my garment?
A: The price depends on the garment and the work needed. Please contact us with a description so we can discuss a quote.
  • Q: Can you finish my alteration by Friday?
A: Timing depends on the job and our current bookings. Tell us your preferred date and we’ll confirm what’s possible before accepting the work.

Notice what’s missing: no made-up dollar amount, no invented opening hours and no promise of same-day service. That’s exactly what we want.

Make the wording even easier to read

After reviewing the draft, try this follow-up:

Rewrite these FAQ answers in shorter, warmer sentences for someone who is not confident reading English. Keep every confirmed fact unchanged. Do not add new information. Use clear headings and simple next steps.

Privacy and accuracy matter

  • Remove customer names, phone numbers, addresses and private message details before using AI.
  • Check every factual claim, especially pricing, deadlines, eligibility, refunds and legal obligations.
  • Ask a trusted person to read the FAQ if accessibility or language clarity is important for your audience.
  • Review your FAQ whenever your business information changes.
